In the rush to meet growing demands, many small businesses look to implement stand-alone software solutions. Now don’t get me wrong – this methodology is great when you are looking for a quick solution, but what happens when you end up feeling inundated having so many software applications, all competing to help run your business.

Stand-alone software is a single application that does not require it to be bundled with any other applications for it to operate. These applications are often designed to only solve a single aspect of your business like collecting digital timesheets, or sending mobile invoices, or scheduling works, or compiling compliance documentation. But what happens when you start growing and you suddenly realise that you need to hire a designated resource just to manage the data between your different accounts?

A smarter way to work is to utilise push/pull technology and transfer data between your applications. That is where API integration comes into play.

Accounting Integrations

Imagine granting your accounting professional access to your Job Management software so they can provide you with solid financial advice based on accurate, real time data.  Well now you can with QicWorks offering direct API integration with Xero, MYOB and Intuit Quickbooks.

Xero Integration

Entering the Australian market in 2008 Xero has been offering its users a comprehensive cloud accounting platform.

Do you need multiple Xero accounts for your reporting entities? Then integration with QicWorks is easy. QicWorks allows you to pull the data from your all your Xero accounts and then match the connection to the specific organisations within your one QicWorks account. Qicworks will then settle your costs to the correct entity’s account when pushing your job costs and payroll back to Xero.

By integrating with Xero, QicWorks can pull your Staff, Contacts, Chart of Accounts, Pay and Tax Codes not only on account setup, but at any time.

We also push invoices, bills, purchase orders and your payroll created in QicWorks back to Xero for reconciliation. We also have the ability to send all attachments associated with these documents as well. Talk about a great time saving feature!

Did you know that QicWorks payroll pushes each line of earning across for staff, not as weekly total like some other job management software providers?

MYOB Integration

MYOB was recently awarded Canstar 2019 – Small business accounting software of the year in recognition for its service to approximately 1.2million Australian and New Zealand businesses. Traditionally a desktop application, MYOB has now expanded to full cloud capabilities, making it a logical choice for as a QicWorks integration partner.

Now you can import your Chart of Accounts, Staff, Pay and Tax Codes. Invoices created in QicWorks will export to MYOB and any Expenses, Bills or Purchase Orders loaded in QicWorks will export as Bills to MYOB.

QicWorks can also directly export line by line Payroll to MYOB for processing.

Note: Unfortunately, MYOB API does not allow for any attachments or daily start and finish times to push through.

Intuit QuickBooks

Quickbooks is owned by the team at Intuit who have been providing accounting software since 1983. 2013 saw the release of their first cloud based accounting solution QuickBooks Online.

Similarly, to Xero and MYOB, QicWorks will pull your account setup data and push your invoices, expenses and payroll details back to Quickbooks for reconciliation.

Document Storage

Early on the management team at QicWorks knew that it just made sense to include document management within the QicWorks platform. However, we needed to come up with a way whereby everyone could access their files without slowing down our core service. Enter our partnerships with Dropbox and Google Drive.


Founded in 2007, Dropbox had grown to over 500 million users by 2016. The Dropbox software enables users to drop any file into a designated folder for storage. This file is then automatically uploaded to Dropbox's cloud-based service, making it available to any connected user's computers and devices.

QicWorks integration allows us to automatically create our document management structure (or job folders) and subfiles within our clients Dropbox account. This means that any documents that are stored in QicWorks automatically upload to Dropbox.

QicWorks file structure includes:

  • Customer
  • Expense
  • Invoice
  • Job
  • Quote 
  • Purchase Order
  • Staff

For example; a file that has been uploaded to the QicWorks Job folder for Job JB000041 will appear in that folder within the Dropbox environment. Alternatively, if you save a file externally to your Dropbox account but within one of our QicWorks document folders, it will also be accessible from within QicWorks.

Google Drive

As part of the Google Business G Suite, Google Drive offers users a cloud file storage and synchronisation service platform. Launched in 2012 Google Drive has grown to over 1 billion users. Dependant upon account access permissions, files can be uploaded, viewed or edited, ensuring the latest revision is available when you need it.

Similarly, to our integration with Dropbox, QicWorks offers mirrored reciprocal access to your documents. That is files uploaded direct to your QicWorks folder in Google Drive are accessible within QicWorks, as well as files saved in QicWorks are also stored and accessible from your Google Drive account.

Email Configuration

While email configuration is not technically an integration, it is certainly another great time saving feature of our document management module.

When your QicWorks account is set up, you are issued with a designated QicWorks email address. Simply cc in this address on your email correspondence, include the Job, Task, Invoice, Purchase or Expense number in the subject line and QicWorks will automatically file a copy of that email into the relevant document management folder.

These documents are then accessible direct from your QicWorks, Dropbox or Google Drive accounts.
