QicWorks Global Releases: July 2020

The Latest in QicWorks Innovation

Simple, Flexible and Streamlined has again been the theme for our dev team this month.

We understand that your time is better spent running and growing your business, not being bogged down trying to set up your Job Management software. That is why July saw the team focusing on our customers on boarding experiences.

We were specifically looking for any steps or processes that may be causing confusion to our community or if there were any opportunities to tweak existing practices for additional enhancements. Once again it was great to receive your feedback and we thank you for allowing us to come along on with you on your QicWorks journey.

As such, QicWorks has released the following updates to make Job Management even easier for you:

  • Job Cost Management data flow improvements
  • Resource & Materials enhancements
  • Net Cost & Billable Rates Table upgrades
  • Contact Tweaks
  • Compliance Bulk upload functionality

Job Cost Management

Our revised estimating module has moved one step closer this month with QicWorks now having the ability to auto populate estimate values for Rates work, based on your actual spend to date. This is a super handy feature if you are then using our inbuilt Work In Progress (WIP) calculator, as it will now automatically show an estimated value to help calculate WIP.

We have also added the ability to add individual mark ups for Quoted works at Resources, Materials and Purchase order level at each Work Breakdown Structure (WBS) node. The total quoted and estimated job values are then used to calculate the overall job mark up.

Resource & Materials Enhancements

"How can we capture costs associated with equipment or subcontractors?" "What’s the difference between a Resource and a Material?"

These are some of the great questions we are hearing from our valued community. So, the team decided to do a deep dive into how we can offer a simple but truly flexible way for our clients to capture their costs.

We have now included additional help information within our QicWorks pages to help guide users, as well as issuing a QicSeries blog dedicated to Resource & Materials. Read it here.

Resources are used when you need to plan and track costs within QicWorks schedule, rosters, timesheets and shift reports. Resource can be labour or equipment - basically anything that requires costing and/or scheduling for on an hourly basis. Note: Resources must be assigned a classification in order to capture costs.

Resources can then be allocated a tracking category such as direct labour, indirect labour, subcontractor and equipment to help further interrogate your job costings.

Materials on the other hand are tangible goods that are purchased to be resold/billable to the customer or consumed on a job. The easiest way to determine if something is a material is to think of materials as a quantity of item multiplied by costs.

Net Cost & Billable Rates Table Upgrades

As part of our Resource and Material enhancements (above) we have also streamlined how you enter and upload your Pricing Tables. QicWorks now uses the Net Cost Table as the starting point to your Billable Rates Tables (Customer Price Lists). Any Resources or Materials marked as active in the Net Cost table will appear as active in your Base Billable Rates Table, but inactive in all additional pricing tables (ie customer price lists) in preparation for Users to update accordingly.

Contact Tweaks

You may have noticed a couple of very small changes within out Contacts module. These tweaks were identified by our valued community. From now on a Contact’s email address is no longer mandatory, the Contact management table is now sorted alphabetically and that you can also filter it by Active or Inactive Contacts. These changes have certainly made it easier to create and find an individual Contact within QicWorks.

Compliance Bulk Upload Functionality

Taking the hard work out of data entry is one of QicWorks core visions, and that is why we have now released bulk upload functionality so that your existing compliance details can be entered direct into your QicWorks Compliance Matrix.

This feature is automatically available to all accounts that have access to the QicWorks Training Module.

Simply head over the training module, open your Training Sessions and click on Upload Batch Training from the Actions menu to access and populate our upload template.

Looking ahead will see the team continuing to work on the release of our integrated scheduling tool and estimating platform. We are currently seeking additional examples and information about what level of detail our QicWorks community require, as part of the development of our estimating module. Other areas flagged for discovery include:

  • Single User Timesheet including ability to capture notes
  • Upgrades to Manager Review Screen to allow for more flexibility
  • Continuing works to capture historical data changes and user activity
  •  Integrating with more online platforms.
