The Latest in QicWorks Innovation
There is nothing better than finding easier, faster ways to enter data. (Ok! You got me - maybe chocolate is a little better!) But you have to admit that having a system that utilises drag and drop, has inbuilt smarts for prepopulating fields and handy navigation buttons that save on page clicks is certainly up there.
That is why we are excited to announce that during October the team have been able to release our new Task Planner. Our Task Planner has been designed to take time out of team scheduling and communications. It is the natural steppingstone between the QicWorks Assigner and Job Scheduling Gantt chart.
Our business dev team have also been hard at work adding the ability to enter delivery receipts for expenses, material descriptions prepopulating from their codes and one click Save & New and Push & New buttons throughout.
We would also like to put the call out to all of our QicWorks community for feedback about all the little things that are causing you pain within the application. We are currently compiling a list of ‘niggly bugs’ for our team to work through for the month of December. So, if you have any suggestions at all on how we can remove clicks, prepopulate, automate or streamline please contact the team and we will add them to our list.
Now let’s dive in and have a look at what the team has been up to in October, as we build a smarter more flexible Job Management System for you:
- Implementation of QicWorks Task planner
- Business Module enhancements
- Data Warning counter
As you may be aware the QicWorks Assigner allows you to quickly drag and drop resources onto your available jobs and change your Job status from Available to On Hold and vice versa. The Assigner is a great way to keep your Job data up to date and accessible to your team via the Timeclock or companion App.
October saw the release of the QicWorks Task Planner which can now take your Assigner data to the next level. The Task Planner allows you to schedule your available jobs and tasks to 15 minute, 30 minute, 1 hour, 2 hourly or 4 hourly intervals, as well as send out SMS notifications to your team advising them of their daily, weekly or monthly planned works.
As the Task Planner filters and counts job by Job Owner, we have added task colour coding to help you keep track of which supervisor is working daily for each Job Owner.
As always, any Job or Task changes such as status, assigned resource or date changes made within Job Management module, the Assigner, Task Planner or Job Schedule will automatically update across all.

Business Module Enhancements
Data entry and maintenance of purchase orders, expenses and invoicing can quickly become a mundane, time consuming chore for any administrative staff. So, with the help of our users we have been able to identify some really great time saving tricks.
Save & New, Push & New buttons
We have now implemented additional functionality to our Save and Push buttons throughout our Business screens. (Clicking on the word Save or Push will still preform their regular function and then return you to that elements management table.)
However now you will notice that when you click on the down arrow to the right of the Save button you are now offered the flexibility to Save that entry as Draft and open a new session, or Save the entry as Issued and open a new session.
The Push button also has added functionality. Simply click on the down arrow to Push the entry to your accounting software and open a new session.
Note: QicWorks pushes your documents to your accounting software in Draft status only.
Push Negative Invoice Value to Xero
This is a major win for QicWorks Users. Functionality has now been added to our invoicing module whereby a negative value can be added and synced with Xero. This means that you are no longer restricted in creating debtor credit notes to amend your invoices. Instead simply add a manual invoice line in QicWorks for a negative value and push to Xero.
Menu and Table Standardisation
The Expense, Purchase Order and Invoicing menus have now been standardised. We have also standardised our many of our table column titles throughout. (ID column throughout is a great example of this.)
Prepopulated Material Descriptions
How handy is it to have your material descriptions prepopulated when you enter in their materials code? Now you can start typing your material code and then select the full code from the dropdown. Once the code is selected, the material description for will auto populate.
Display WBS path in Expenses, Purchase Orders & Invoices
September saw the team roll out functionality within our Task module whereby you are now able to see the WBS path for a child node. We are pleased to announce that we have now implemented this feature throughout expenses, purchase orders and invoices.
Don’t forget that you can also start typing the name of the node you are looking for within the search field, and all possible results will display in the dropdown for selection.
Expenses are often overlooked with it comes to data entry. We have seen many examples where expenses have been entered with references such as ‘credit card,’ ‘Bunnings’ or three receipts entered with a similar date format. As QicWorks requires a unique reference id to push to other applications, we have now implemented the prefix of EX to our expenses. Using the example below, this means your expenses will now appear with a reference of EX000027/14.10.2020 in your accounting software.
This means that you are no longer restricted when entering a reference ‘number’ for your expenses.
Data Warning Counter
QicWorks data warnings really are the one stop shop for highlighting any issues that require attention. From Jobs missing cost data, to managing resource fatigue or unapproved time entries. To help highlight these warnings we have now added a counter to your Data Warning menu on your Dashboard.
Sneak Peek at Next Month
We would like to remind all that December is scheduled for solving the ‘little niggles’ put forward by our Users. (Little niggles being things like extra clicks, extra data warnings, more search functions, prepopulating fields etc.) We would love to hear from you if you have any additions for our list.
In the meantime, November will see the dev team with their heads down creating and enhancing the following:
- Data warnings and process improvements for identifying and capturing time and cost changes after an invoice has been issued, or a job has been closed.
- Payroll approval UI for fortnightly pay runs
- Ability to calculate job and task percentage complete by 1 of 4 ways
- Job Template flexibility
- Ability to invoice jobs based on percentage
- Continued roll out of system helpfiles and troubleshooting knowledge base
