Inventory and Job Management Software

4 Insane Reasons why you need to integrate
Job and Inventory Management

Managing stock can be an absolute nightmare for some construction businesses.  Sure, you can try to keep tracking materials using pens and paper or Excel but this process really is time consuming, prone to errors and more often than not outdated, as soon as it has been updated.

If you are looking for an easier way to know exactly what stock you have on hand, as well as it’s true value then perhaps it is time to invest in a cloud based inventory management solution.

Switching to a cloud solution means that you are able to;

  • Deliver better customer service, by knowing in real time stock is on hand and where
  • Dive deeper into stock usage to help free up cashflow
  • Identify seasonal materials and bulk order for discount or reduced freight costs
  • Identify and target slow selling items to help free up storage
  • Capture more information about individual items like weight, size, serial numbers, images and pack sizes
  • Set reorder points for fast procurement
  • Reap cost benefits such as not having to retain IT personnel, pay server costs, mange updates or maintain a cybersecurity plan
  • Financial data can seamlessly flow through to your accounting software via secure API

However, if you were to integrate your inventory management software with your job management platform, then you can really take your business to the next level.

This is because you are now able to track material usage direct to the job. Not only is this perfect for capturing exactly what materials (and their cost) were used on the job, but this data is also great for detailing which items are required the next time you do this job.

Integrating these two systems also ensures that your inventory table is automatically updated, when materials are consumed on the job, so you have complete visibility of stock on hand at any time, from anywhere.

Easy Setup

Now that you have decided your business needs a new system for managing stock, you certainly don’t want to be spending a heap of time setting it up.  This is where the QicWorks import sheet comes in handy.  Simply download the excel file, copy and paste your stock data and upload direct into our materials table.

This import sheet allows you to add your buy and sell rates, supplier, max/min quantities, bin locations, serial numbers and much more. You can also use this upload sheet to import your existing barcode or QR code details or let the QicWorks system create your numbering for you.

With no restriction to the number of material items on your account, this import sheet can certainly save you time and effort on setup.

Accessibility

Field crew can quickly capture material usage via the QicWorks mobile app. For fast identification, users can capture an image of the barcode, QR code or search/enter your unique SKU part number or material description to quickly identify which materials were used.

This accessibility extends through to running stocktakes. There is no need to buy fancy scanning equipment when you have the free QicWorks app downloaded. Dramatically reduce the amount of time you take to complete a stocktake by simply scanning the items barcode or QR code, confirm the quantity and location and save/submit. Find out more about QicWorks material barcoding.

Any material updates can be uploaded at any time, when mobile data service is available, by synchronising the mobile app.

Material Tracking

Never lose track of where your materials are again!

Identify where your materials are located by populating the Location and Bin number fields. These fields are free text and can be used to identify locations such as workshops, warehouses and even truck numbers.

QicWorks also allows users to create picking and restocking lists. Picking lists are a great way of capturing what materials have been ‘picked’ or taken from your stores. User can then set whether these materials should be assigned or booked direct to the job. Find out more about QicWorks material types.

Restocking lists on the other hand show when goods have been received against your purchase orders and the location they should be stored in, making it easy to store the items.

The Inventory table is also a great way to see which materials are available ‘on the shelf’, have been assigned or allocated to a job ready for us, are on order or need to be ordered. You can also ‘quick convert’ materials to assets and gain the benefits of QicWorks Asset Management

Analytics

QicWorks inventory dashboard keeps you up to date with your stock values. We use Periodical inventory methods to calculate stock on hand. This means we don’t use first in first out practices, instead we use the buy rate at the time of purchase to calculate your stock value.

Our inventory table also offers great visualisation of when materials have reached their reorder points. These items are identified through the use of a shopping cart icon. Simply click on this icon to prepopulate a purchase order with this items details or click on the Reorder Stock button and order a number of items from the same supplier.

As many construction businesses experience material shortages and unexpected price rises, it is becoming more and more imperative that you can access accurate material data (quantities and locations) to ensure your project is not delayed.
