Wow, August has been action packed with the team focusing on offering you even more flexibility when it comes to scheduling your teams, as well as collecting and approving individual and group times. Many of these features have been suggested by you to help streamline your business processes. We love having your input into the design and functionality of QicWorks – thank you and please keep your ideas coming.
This month we have released the following updates to make Job Management even easier for you:
- Release of Interactive Schedule
- Increased flexibility in Manager Approval
- Individual & Group Timesheets
Schedules are an integral part of workforce and Job Management and that is why the team have been busy working on creating the very best scheduling experience for you.
We know that not everything goes to plan and that you need to be able to react immediately. As such, our QicWorks schedules has been designed to handle constant shifting – effortlessly and fast!
Our schedule uses Gantt chart formatting to offer a simple visual representation of the Job. We made sure that we used the latest drag and drop technologies, automatic SMS and email event notifications, dynamic filters and page customisations were used.
Directly linking your Job Management and Job Planner interfaces to your schedule is another great time saving feature of QicWorks. Any changes made within one of these key areas, automatically updates the other two. This is great if you add or edit tasks, or update task percentage completion within the schedule, as these changes will automatically appear within your Job, as well as the Job Planner.
Our schedule is not only easy to use, but is also pack full inbuilt smarts that include;
- Auto scheduling
- Critical path calculation
- Monitor project S Curves
- Set and monitor Task & Job Milestones
- Export to MS Project to share with your stakeholders
Manager Approval Upgrades
You may have noticed that the “Managers Approval” menu item has been renamed “Time Approval”
Dependent upon your account settings, the Time Approval screen is now able to show you Resource hours per task, as well as any timesheet notes and/or allowances claimed. We have also added the ability for Managers to edit the billable hours value. This value is then carried through to customer invoicing for all Rates Tasks.
Managers can also edit a Resource’s classification or manually override the rate applied. (Note: this change is only applied to that particular transaction. These details are not changed within Job management for future transactions.)
Individual & Group Timesheet Templates
We know that everyone has different needs when it comes to collecting and reporting time. Whether it is adding notes to your timesheets that are visible for to your Customers, showing the Customer name or Resource classification, collecting travel based on start or finish time entries, or having staff enter only a duration for tasks, we have been asked for it all. That is why we have created a number of different timesheet templates for both individual users and teams.
As part of your account setup, you will need to select which style of timesheet you would like to utilise. You have the option to select a style for My Timesheet (for individuals) or Group Timesheets (for Supervisors to complete on behalf of their teams.)
QicWorks account setup allows administrators to pull all their existing allowance details from their accounting software. This ensures that payroll will seamlessly push allowances to the current pay run as part of your payroll synchronisation.
We have now added extra functionality whereby allowances can be set and calculated at fixed, rate or multiples.
Fixed – an allowance that is charged at a fixed rate once ie Meal allowance of $11.00
Rate – an allowance that is charged at a unique quantity ie kilometer of 32km at $0.67/km
Hourly multiples – an allowance that is charged by rate times hour ie Higher duties of $3.20 above normal time
Allowances can be added to individual or group timesheets, shift reports or can be manually added during Time Approval, with all costs automatically settling back against the Job financials.

Other works flagged for future development include:
- Release of Cost Approval module (Similar to Time Approval, cost approval will allow Managers to capture and approve job costs for materials and equipment captured by Shift reports, purchase orders or expenses.)
- Ability to select from multiple WBS templates to create your estimates.
- Continued roll out of more timesheet templates
- Fully integrated Leave module
